Forms+Surfaces is a leading designer and manufacturer of architectural and site products used in high-profile commercial and public projects around the world. With approximately 600+ employees both local and international, our team of talented professionals and craftsmen spans numerous disciplines. We are currently seeking an individual with a background in Sustainability to join our team for a summer internship.

Our AZ location (Phoenix, West Valley Area) is currently seeking an  Administrative Assistant   to represent the company in a positive and professional manner and help maintain and support basic facility operations.

Duties and Responsibilities:

• Maintain and ensure the professional presentation of the lobby and front office.
• Direct incoming phone calls to the appropriate parties.
• Process and route incoming and outgoing mail. Assists with the recruitment and interview process including job posting, screening and scheduling interviews.
• Ensure that all visitors sign-in and follow visitor safety policies.
• Issue, adjust, and receive POs as necessary.
• Create, process and close SOs as necessary.
• Create physical/ electronic job folders and maintain filing system.
• Maintain office supply inventory, order supplies as necessary.
• Order miscellaneous shop supplies as directed.
• Perform credit card coding for management.
• Place lunch orders as directed, and pick up lunches if required.
• Assist with meeting and event hospitality, coordination, and scheduling.
• Assist with internal job order issuing and adjustments as necessary.
• Provide clear communication between team members and facilities.
• Adjust manufacturing records/documents as necessary.
• Managing projects/tasks independently as necessary.

Qualifications:

• High School diploma or equivalent.
• Strong computer skills, experience with Microsoft Office programs such as Excel and Word.
• Bilingual (Spanish / English) preferred.
• Outgoing with a positive attitude.
• Strong verbal and written communication skills.
• Strong desire to learn.
• Strong problem-solving skills.
• Ability to work in a fast-paced environment.
• Ability to multitask.

Office environment with a typical workday from 7:00 am to 3:30 pm Monday – Friday (hours include 1 half hour lunch break). Occasional overtime may be required.
